The problem

The building was ready. The booking system was not.

Conference rooms, coworking, and private offices lived in a historic downtown property. Availability lived in someone's head and someone's phone. A guest who wanted the Aria Room for two hours had to call, wait, and hope the slot was still open. Members and the public saw different stories depending on who picked up.

That is an owner-led operation doing the work of a scheduling system. It does not scale past the person who answers.

What we built

The public site and the booking engine, as one system.

Not a brochure with a contact form taped on. Two conference rooms (the Aria Room and the Grand Tier Boardroom) show live availability. Guests book with an email. No account required. Selecting a time places a ten-minute hold so two people cannot take the same slot. Members who sign in get history and rebooking.

The published rate is the same for guests and members: $75 an hour, two-hour minimum. Private offices, coworking from $250 a month, and virtual membership at $50 a month stay on a conversation, then the resident billing system. The site tells the truth about that. It does not pretend checkout is done when it is not.

The result

The calendar is the system of record for meeting rooms.

The phone is no longer the only way to see if a room is free.

The phone stopped being the only door into the building's schedule. Anyone can see what's open and book it, which means the operation no longer depends on one person being reachable, which reduces my workload and improves accuracy.
